OneSurvey, Scotland’s largest independent surveying company, were facing a critical tension: outdated digital tools were slowing surveyors down, while paper-based methods limited scale, efficiency, and growth. Across an agile, iterative process our partnership redefined property surveying.

Surveying was caught between fast on-site execution using paper and dictation, and clumsy digital systems that introduced inefficiency and frustration. Incumbent software trials had failed, eroding confidence in technology and making future adoption harder.

OneSurvey asked a deceptively simple question — how can an app talk to a desktop? The answer required rethinking not just technology, but the entire workflow. Our task was to create a phased blueprint for transformation, with surveyors at the centre.

Understanding root causes & building trust

To transform a profession with 150 years of embedded knowledge, we needed to move fast, build trust, and uncover the true barriers holding change back.

Discovery began with workshops, interviews, and on-site shadowing to capture the lived reality of surveyors. Our cross-disciplinary team brought expertise across research, strategy, design, and engineering — but crucially, surveyors themselves provided the insight only years of practice can deliver.

The findings were clear: existing software increased time on site from 30–40 minutes to over an hour, cutting billable time. Multiple failed pilots created organisational inertia, making adoption harder. Products were adapted for the Scottish market in ways that bloated features and compromised usability. Worse, workflows turned skilled surveyors into administrators, digitising paper instead of mapping real property flows.

Discovery concluded with a blueprint for phased transformation and the creation of OSCapture — a surveyor-first app designed to rebuild confidence and reframe digital as an asset, not a threat.

Designing simplicity from complexity

Surveying workflows are detailed and nuanced, but technology should simplify rather than complicate them. We focused on reducing friction, creating agility, and giving surveyors tools that work at their pace.

The definition phase was guided by rapid prototyping, open collaboration, and a shared commitment to simplicity. Together with OneSurvey, we achieved three design breakthroughs:

Adaptive data capture Observing how surveyors worked with paper surveys allowed us to redesign rigid, linear flows into adaptive, multi-path workflows that mirrored different surveyor styles.

Two taps from anywhere A flat navigation structure ensured surveyors could reach any section of the app in no more than two taps, making data capture faster and more flexible.

Lights off surveying A distinctive dark mode interface with large, ergonomic buttons created an iconic, ownable experience. Surveyors move through properties switching off lights; the app mirrors that behaviour, reinforcing both brand and usability. These breakthroughs were supported by tactical use of AI to accelerate report drafting, giving administrators structured sentence suggestions that reduced time to completion.

From definition to build

By combining strategy, design, and engineering with surveyor expertise, we created a platform built for adoption. With definition signed off in one round, we moved into build.

The definition phase concluded with a single round of feedback — testament to the collaborative, transparent process and the trust built between teams. With prototyping validated, OSCapture entered build.

At its heart lies the profession’s biggest question: can technology enhance the surveying experience instead of threatening it? Our work demonstrates that when technology is designed around people, the answer is yes. OSCapture is more than an app — it is the start of a scalable transformation strategy for OneSurvey and the industry at large.
